Joke: '25 reasons why beer is better than women'

Is the subject line of this newsletter offensive to you? Whether it is or not, it probably caught your eye. It should have raised red flags as well. Here is why:

A short while ago Chevron settled a case filed by four female employees for $2.2 million. The employees alleged that sexually-toned emails sent through the company's email system caused a harassing and thus, threatening work environment. One of the sexually offensive messages was '25 reasons why beer is better than women'.

Seems rather innocuous - if you are with a bunch of guys drinking beer and watching the Sunday afternoon game. But this was a corporate environment and that is a different story.

The courts, regulatory bodies and the general public have developed the attitude that companies are to be held responsible for all the information transmitted on or from their systems. Emails traveling over your corporate system have become serious business when lawsuit awards and penalties are creeping into the millions.

So, what are your email policies?

What policies you say? Oh no! You don't have any formal policies? Oh you do - sort of. You remember something from a couple of years ago. You snickered when a corporate memo came around (written on paper) about corporate email use.

Hmmm...

Can I save you a bunch of money? Do these things:

  1. Create an email use policy
  2. Train your staff and fellow employees and peers (including the executives)
  3. Make sure it is actually implemented

If you need a starting point, consider the white paper
"Ten Easy Steps for Email and Web Best Practices".
